This policy explains how Just Ask Olly ("Olly," "we," "us") collects, uses, and protects information when you use our AI-powered assessment assistant. We've written this in plain language because we want you to actually understand it.
Important: Client Information
Olly is designed for writing assessment notes, not storing client records.
You should not enter client names, Social Security numbers, dates of birth, addresses, or other personally identifiable information (PII) into Olly. Use placeholders like "[Consumer]" or initials instead. The assessment notes you generate are meant to be copied into your official case management system.
How AI Processing Works
When you use Olly to generate assessment notes, here's what happens:
- Your form data and messages are sent to an AI service to generate responses
- The AI processes your request and returns the generated notes
- Your data is not used to train AI models — it's only used to respond to your specific request
- We use prompt caching to improve response times, which temporarily stores recent context
What We Collect
We collect:
- Account information: Your name and email address
- Assessment data: The information you enter into forms and chat messages
- Uploaded documents: Reference guides and templates you upload for context
- Usage data: How you use the app (pages visited, features used) to improve the service
How We Use Your Data
- To provide and improve the Olly service
- To generate AI-powered assessment notes based on your input
- To communicate with you about your account or the service
- To understand how case managers use the tool so we can make it better
Data Retention
Your sessions and messages are stored so you can access them across devices and continue where you left off. Here's our retention approach:
- You can delete individual sessions or messages at any time
- If you delete your account, all your data is permanently removed
- We may retain anonymized, aggregated usage statistics
Data Security
We use industry-standard security measures including encrypted connections (HTTPS), secure password hashing, and protected database access. However, no system is 100% secure, which is another reason not to enter sensitive client PII.
Third-Party Services
We use third-party services to operate Olly, including cloud hosting, AI processing, and analytics. These services have their own privacy policies and are selected for their security practices.
Your Rights
You can:
- Access your account information through your profile
- Delete your sessions and data at any time
- Delete your individual message data at any time
- Delete your account entirely
